Secondary Schedules Update from the Counseling Team

Dear STEM School Highlands Ranch Secondary Families,

Thank you so much for your patience over the last few days. The Counseling Team met again this morning and wanted to provide you with an update on Secondary Schedules. 

We want to reassure families that there will always be issues and discrepancies when Secondary Schedules are released at the start of the school year. There are several reasons for this:

  • Data in IC is constantly changing (enrolling and unenrolling students)
  • New staff onboarding (swapping classes based on experience and expertise)
  • Enrollment changes (adding and collapsing classes based on demand and enrollment)
  • Students taking off-campus courses
  • No Course Selection Sheet submitted for students

We want our students to have the best start to the school year as possible and that is why our team is going to ask for very specific things from our students and families.

At this time, please do not call the counseling office or reach out to the counselors directly. They are processing Schedule Change Requests in the order that they were received, as well as running reports to identify any issues that they can resolve in advance. 

The information below will help direct you to the appropriate pathways for schedule issues.

If your student’s schedule has a gap (one or more periods do not have a class):

  • Counselors run a Gap Report to identify which students have gaps in their schedule and will be looking at any available courses that will be offered during that time.
  • Counselors will be filling in those gaps over the next few days so students will see those gaps fill in.
  • If your student still has a gap in their schedule on Tuesday, they should go to their respective counseling office to meet with their counselor. The front offices will have a list of those students for each period and will work with them to fill that gap.

If your student has two classes listed for the same period:

  • Please complete the Schedule Change Request form and indicate which course is the preferred course to take. 
    • HS Schedule Change Request
    • MS Schedule Change Request
    • Please only complete your request ONCE the changes will not be automatic and it can take about a day after the changes is made for it to show up in personal your personal Infinite Campus. (If you’ve already completed one, you do not need to do it again)
  • The counselors will then complete that request.

If your student is missing a Core Class (Math, Science, Language Arts, Social Studies)

  • If you student is missing a math class it could be that we do not have a math score on file for them.
  • Your student will need to take the Math Placement Test or we will need to receive the iReady scores. 
  • Math placement test should be taken during the first week of school during one of the free periods on the student’s schedule. If there is no free period, the student should come to see the counselor on the first or second day of school.
  • If your student is missing a different Core class, please have them complete the Schedule Change Request Form.

    • MS Schedule Change Request
    • Please only complete your request ONCE the changes will not be automatic and it can take about a day after the changes is made for it to show up in personal your personal Infinite Campus. (If you’ve already completed one, you do not need to do it again)

If your student has an AP class that they selected that is not on their schedule:

  • Some AP classes are being offered at the same time so we cannot accommodate your request to take both classes during the same semester.
  • If you’d like to switch your AP class, please complete the HS Schedule Change Request Form.

If your student does not have a schedule appearing in IC:

If your student is taking OFF-CAMPUS Concurrent Enrollment Classes:

  • Class schedules will still show gaps in the areas where the student is taking an off-campus course. 
  • Please complete the Off-Campus CE Form so that we can build those classes into your schedule.

We cannot guarantee a schedule request. We will do our best but your change request can be denied. The last day for schedule changes will be Thursday, Aug. 18.

From Wednesday, Aug. 3 to Wednesday, Aug. 10, the only schedule changes we will be making are for High School Students are for required courses for graduation, and for Middle School, we will only make changes for required Core Classes.  

We will not be making any other changes to schedule changes until after Wednesday, August 10. We will be making very limited changes this year. If you have emailed any STEM staff member about a schedule change leading up until this point you will still need to complete the google form. Please refer to the High School Academic Planning Guide or the Middle School Academic Planning Guide for course information.

We want to assure everyone that the counseling team is working around the clock to make sure that schedule changes are being processed and that schedules are being checked. In order to get through all of the changes and updates in IC, the processes outlined above are the only avenues to use at this time.

Students will have the opportunity to meet with counselors over the next two weeks to ensure that their schedule is complete. 

We will provide an additional update if needed next week.
